Why not simply build custom AI agents?

Who decides what Q is allowed to do?

You or your organization decide what Q is allowed to do. The task, data access, systems, permissions, approvals and boundaries are defined to suit the use case.

This includes approved data and systems, permitted actions, checking rules, amount or risk limits, responsibilities and situations in which a person must decide.

What may Q handle on its own—and when does a person decide?

You define which information Q may use, which rules apply and what Q may do on its own. As long as Q can sensibly continue working within this scope, Q acts independently. When uncertain or faced with important decisions, Q brings in the person responsible.

Q-Receipts make relevant checks, decisions and outcomes traceable.

Does Q need human approval before every action?

No. Q can take steps on its own within the defined scope. Approval is required where it has been specified for the task or where uncertainty or an important decision requires human judgment.

What does human-in-the-loop mean for Q?

For Q, human-in-the-loop means that people are involved precisely where their judgment, responsibility or a defined approval is required.

Q should not turn people into permanent checkpoints. When a decision is needed, Q prepares the case so that the person can make a focused decision.

What are rules or guardrails in Q?

Guardrails are boundaries for Q. They determine which data, actions and decisions are permitted and when Q must stop, ask a question or escalate.

In customer-facing language, Q uses the simplest possible terms: rules, permissions, checks and approvals.

What happens when there is a deviation?

A deviation does not automatically lead to an approval. Q first checks whether it can sensibly continue working within the agreed scope for action.

Who is responsible for a decision made by Q?

Can Q make mistakes?

Yes. Like other AI and software systems, Q can make mistakes.

For this reason, permissions and the scope for action are limited, relevant checks are defined and important actions are documented in a traceable way. Where Q cannot safely continue working within the agreed scope, Q brings in a person or stops.

How does Q check an action before carrying it out?

The checks required are defined for the task. They may cover completeness, plausibility, duplicates, contracts, pricing rules, permissions, budgets or approval limits.

What is a Q-Receipt?

A Q-Receipt is an easy-to-understand record of what Q has checked and completed.

It can show the basis on which Q acted, which checks were carried out, whether a decision or approval was required and what outcome was produced.

What information can a Q-Receipt contain?

A Q-Receipt can summarize the information important to an action, from the assignment through to the outcome.

The exact scope depends on the task, risk and evidence requirements.

Is a Q-Receipt the same as a technical audit log?

No. A technical audit log records technical events. A Q-Receipt additionally translates key steps into an understandable business record.

The two can complement each other: technical logging for operations and security, and Q-Receipts for people, responsibility and internal controls.

Which actions have Q-Receipts?

Q-Receipts are intended particularly for write actions and other relevant steps. The level of detail required in the record depends on the task and risk.

Human approval is part of the Receipt only if it was required for the specific action.

Does Q support internal controls and audits?

Q can support internal controls and audits by documenting relevant rules, checks, decisions and outcomes in a traceable way.

Whether a specific record meets formal review requirements must be agreed with the responsible specialist, compliance and audit functions.

Does the works council need to be involved when Q is introduced?

That depends on the specific use. If Q is technically capable of recording or analyzing information about employee conduct or performance, co-determination under Section 87(1) No. 6 of the German Works Constitution Act may be relevant.

For other uses involving employee data or affecting workflows, data protection, purpose, data, analyses and responsibilities should also be clarified transparently at an early stage.

Does Q monitor or evaluate employees?

Q is not designed as a tool for covert monitoring or automated performance assessment of employees.

Whether a specific use allows conclusions to be drawn about conduct or performance depends on its purpose, configuration, the data used and the features involved. Use must therefore be transparent, limited to the defined purpose and restricted to the data required. For a service case, a customer message, the case, the calendar and service documentation may be relevant, for example. The agreed purpose determines which information Q actually processes.

How are identities, roles and permissions taken into account?

Roles and permissions determine who may view information, permit actions or make decisions.

For larger-scale use of Q in companies, central governance and clearly regulated access are among the requirements.

What additional factors become important for a larger business deployment?

As scale and risk increase, central user management, roles and permissions, secure login, logging, monitoring, quality checks and controlled integrations become more important.

Which of these requirements are necessary for a specific use is defined to suit the task, data and risk.

How does Q handle storage and deletion?

Data storage and deletion must be governed to suit the purpose, legal basis and use.

Q should not collect information indefinitely. Which data is stored for how long, which contexts Q may retain and when something is deleted must be defined transparently.

Do I have to connect my calendar, email or other applications to Q?

Only if Q needs the application for your desired task. You decide which systems and information Q may use.

Calendar access may be useful for appointment reminders, but not for other tasks. Each connection is limited to its purpose, the data required and the permitted actions.

How does Q protect my data?

Q is designed to limit data access to the agreed purpose, approved sources, and appropriate roles and permissions.

Storage locations, providers involved, deletion, logging and security measures must be reviewed transparently for the specific use. A blanket security assurance without this review would be irresponsible.

Where is Q's data stored?

There is no general answer that applies to every future use. Storage locations and the providers involved depend on the specific technical and contractual solution.

Before use, data flows, storage locations, subprocessors, access and deletion must be clarified transparently.

How does Q select AI models and providers?

The model and provider should be selected to suit the task. Criteria include quality, data protection, security, speed, availability and cost.

Q does not place a single model brand at the center of the product. What matters is which intelligence is suitable and permitted for the assignment.

Is Q model-independent or 'model agnostic'?

Q is designed in principle to support the integration of different models. This does not mean that every model is available at all times or suitable for every task.

How are quality and operations monitored?

What happens in the event of a security incident?

What does 'European by Design' mean for Q?

For Q, European by Design means that data protection, information security, identities and permissions, traceability, and choice of model and provider are considered from the outset to suit the use case.

Is Q GDPR-compliant?

A blanket assurance of GDPR compliance without a specific use case would be irresponsible. Data protection compliance depends, among other things, on the purpose, types of data, legal basis, processing on behalf of a controller, access, storage locations and deletion periods.

How does Q account for the EU AI Act?

What documents does a company need to assess Q?

What happens to my data when I stop using Q?

Professional use requires clear rules for export, retention and deletion after the contract ends.

The specific exit arrangements must form part of the technical and contractual agreement; they must not be clarified only at the end.
